Position overview

As the Office Manager at Villari, you will play a key role in keeping a welcoming workspace ensuring our office operates smoothly and efficiently. Your role requires flexibility, attention to detail and strong communication skills. You will be reporting directly to our Chief Operational Officer, and you will be collaborating with other office managers in our building to coordinate shared facilities. This position is ideal to combine alongside a Bachelor’s or Master’s degree, offering flexibility, responsibility, and the chance to gain valuable experience in a dynamic environment.

Responsibilities and Tasks


Office Environment

  • Office Environment Management: Ensure the office is clean, organized, and well-stocked with necessary supplies including groceries, coffee, and tea.
  • Waste Management: Taking care of waste disposal of recyclables.
  • Equipment Management: Managing office equipment, including desks, PC’s, printers, whiteboards etc.
  • Token Management: Manage office access tokens and maintain an up-to-date overview of issued and returned tokens, and ensure proper handover when employees join or leave.

Facility Coordination and Hospitality

  • Order Coordination: Manage grocery orders and receive deliveries.
  • Event Planning: Planning and organizing internal events such as company outings (Villarituals) and farewell parties.
  • Team Support: Responding to team member requests related to office facilities and accommodate specific requests to enhance workplace comfort.
  • Guest Reception: Welcoming clients and guests at the office.
  • Facility Coordination: Maintaining communication with other office managers within the building to coordinate shared facilities and responsibilities.

Ad Hoc and Administrative tasks

  • Travel Arrangements: Book tickets for events, arrange suitable accommodation and transportation, and maintain organized records in Excel for budgeting purposes.
  • Expense Management: Managing the expense platform Pleo, ensuring correct cost allocation and VAT labelling.
  • Team requests: Being able to handle ad hoc requests that fall within your scope. These may include but are not limited to market research of drafting specific documents, depending on the team member’s needs.


Job requirements

What will you bring?

  • Strong organizational and multitasking skills.
  • Currently enrolled in, or have completed, a Bachelor’s or Master’s degree program at a university of applied sciences (HBO) or a university (WO).
  • Experience or interest in office and facility management
  • Proficiency in Microsoft Excel and basic office software.
  • Experience with platforms like Pleo (or ability to learn quickly).
  • Fluent in Dutch and English (spoken and written).
